Introduction
Managing stakeholder expectations involves identifying stakeholders, understanding their needs, setting realistic goals, and maintaining transparent, consistent communication to align their views with project realities, preventing scope creep and building trust for successful project delivery. Key strategies include creating a stakeholder management plan, defining project scope clearly, regular check-ins, progress reporting, and adapting communication methods to each stakeholder’s preference.
The course typically focuses on a structured, phased approach, beginning with stakeholder identification and analysis, developing communication strategies, and mastering interpersonal skills like negotiation and conflict resolution.
Course Outline
Module One: Introduction to Stakeholder Management
- Definition and importance of stakeholders (internal and external).
- Key benefits of effective stakeholder management.
- The role of the manager/project manager as an “expectation manager”.
Module Two: Stakeholder Identification and Analysis
- Identification techniques: Brainstorming, reviewing documentation, and creating a stakeholder register.
- Categorization and prioritization: Using tools like the Power/Interest Grid or Salience Model to understand influence, impact, attitude, and interest levels.
- Understanding expectations: Eliciting stakeholder needs and defining what “success” looks like for different parties.
- Analyzing gaps between current and required perceptions.
Module Three: Planning Stakeholder Engagement and Communication
- Developing an engagement plan: Documenting objectives, strategies, and actions to move stakeholders to a desired engagement level.
- Creating a communication plan: Identifying key messages, methods (e.g., meetings, email, dashboards), frequency, and communication barriers.
- Setting realistic expectations: Being transparent about constraints, trade-offs, and project scope using documented project charters.
- Proactive risk communication: Identifying and communicating potential issues before they become crises.
Module Four: Interpersonal Skills and Conflict Resolution
- Active listening and empathy: The importance of understanding different perspectives and building trust.
- Influencing and persuasion: Techniques for gaining buy-in and achieving goals without formal authority.
- Negotiation skills: Using principled negotiation techniques (e.g., BATNA, win-win strategies) to manage conflicting demands.
- Conflict management: Identifying the roots of conflict and applying appropriate resolution styles.
- Cultural awareness: Recognizing how national, regional, and organizational cultures impact behavior and
communication.
Module Five: Monitoring and Control
- Measuring progress: Using metrics and feedback mechanisms to assess satisfaction and engagement
effectiveness. - Routine check-ins: Continuously tracking sentiment and realigning expectations as needed.
- Managing changes: Implementing a formal change control process to manage scope creep and evolving
expectations. - Lessons learned: Generating information from past projects to enhance future management efforts
